About the Role

Job Overview: We are seeking a detail-oriented and organised individual to join our team as an Administrative Assistant. The successful candidate will play a crucial role in providing administrative support, managing communication, and ensuring the smooth operation of various office tasks. The Administrative Assistant will be responsible for handling a range of duties to contribute to the efficiency and effectiveness of our daily operations.

Responsibilities:

1. Administrative Support:

1. Assist in managing office supplies, inventory, and equipment maintenance.
2. Coordinate and schedule appointments, meetings, and conference room bookings.

2. Communication and Correspondence:

1. Respond to emails, inquiries, and requests in a timely and professional manner.
2. Distribute incoming mail and packages to the appropriate recipients.
3. Prepare and send outgoing mail, packages, and shipments.
4. Handle incoming calls, routing them to the appropriate individuals or departments.

3. Accounts Receivable Management:

1. Monitor and manage accounts receivable.
2. Follow up on overdue payments on daily basis
3. Collaborate with the accounting department and ensure accurate and timely payment processing
4. Manage and process Direct Debit payments from clients.
5. Set up new clients for Direct Debit payments and ensure compliance with relevant procedures.

4. Data Entry and Record Keeping:

1. Maintain accurate and up-to-date records, files, and databases.
2. Enter and update information in spreadsheets, databases, and other systems as required.

5. Office Organisation:

1. Keep the reception area, conference rooms, and common areas neat and organised.
2. Monitor and replenish office supplies, ensuring availability for employees.

6. Customer Service:

1. Provide excellent customer service to clients, guests, and employees, addressing inquiries and concerns professionally.
2. Assist in resolving client and visitor requests to ensure a positive experience.

7. Assistance to Management:

1. Assist managers and team members with various administrative tasks and projects.
2. Prepare reports, presentations, and documents as requested.

8. Security and Safety:

1. Be aware of emergency procedures and provide assistance during evacuation drills or actual emergencies.

9. Paperwork Scanning:

1. Efficiently scan and digitise paperwork and documents.
2. Organise and maintain electronic files and databases.

PERSONAL SKILLS:

High school diploma or equivalent; additional qualifications in office administration are a plus.
Proven experience in an administrative role or similar capacity.
Strong organizational and multitasking skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Ability to work independently and collaboratively within a team.
Attention to detail and a high level of accuracy.
